The best way to know your availability is to have a calendar right in front of you at all times. This allows you to instantly be able to make an appointment date suggestion. “How about Thursday?” sounds way more professional than “Ummm, let me grab my appointment book and check… Hold on….”

Smile

Yes, you read that right. Smile, even while you are talking on the phone. People can hear the change in the tone of your voice right over the phone. It is always more pleasant to speak to someone who is smiling at you and not scowling because they have a million other things to do and you are asking a ton of questions. 

No Excuses

Do not make excuses with a potential client over the phone. They do not need to hear about your behind the scenes story of your late office employee, a death in the family, a sick kid, you hectic life, or anything else. They called you looking to talk about what you are offering, not be your best friend. Keep conversations professional but polite and stick to small talk when needed. 

Minimize Distractions

When someone calls you looking to speak with you, it is important to set aside everything else and deal with their needs first. If your office is noisy, shut the door. If someone else is in the room, ask them to leave and come back later. You want the person on the phone to know that they have your undivided attention in order to assure them that you have their best interests in mind. No one wants to make an appointment with someone who is too busy to actually sit down and meet with them. 

Recap

At the end of your phone conversation, recap the plan of action. Did you make a meeting date? Say something like, “Great! I’ll see you at 9 am on Friday then. Thank you.” This will give them confidence that you will be ready to meet them at the agreed upon time. It will also make sure that they have written it down properly and will be ready to meet with you at the right time too.
