Managing a multifamily unit is more complicated than just managing a single house. There are more residents and more units with a chance for more things to break and need maintenance.  Here are a few tips and tricks to get you started on the best way to keep up with everything that needs to be done. 

1.    Make a list. Write down all the things that need to be checked on a weekly basis.. Then write down all the stuff that needs to be checked monthly. Then write down the things that need to be checked yearly. Make clear headings and a place to check off each thing as you complete it for each unit. Keeping a record will help you keep track of what you’ve done and when. 

2.    Create rules and procedures. WIll you allow smoking in your units? What about pets? What questions do you need to ask about residents who are moving in? If you make clear policies, you will be able to use them for each person that moves in, allowing you to stay consistent and unbiased. 

3.    Do walkthroughs on a regular basis. This helps you to check and be sure that things are not broken beyond repair, or that something against your policies is not happening. You should be able to smell if a resident is smoking or has a pet in your unit against your wishes. Make sure you schedule a time that is convenient with your residents, and let them know that you will be coming through regularly to check. 

4.    Keep up with communication. Respond to phone calls, letters and emails from residents as soon as possible. This will give you the chance to deal with a situation as it arises, not later when it is too late. 

5.    Get emergency repairs done as soon as possible. If you can’t be there to do them yourself, be sure you have someone that you can call who can be there quickly and get the work done for you. You don’t want to have a dangerous situation for your residents, and you don’t want to have a legal situation on your hands.
